How a unified school district centralized multi-site asset management
A unified school district serving 27 campuses standardized facilities operations on PremiseOps, replacing campus-by-campus tracking with a single portfolio view of assets, preventive maintenance, and work permits.
27
campuses unified under one portfolio view
62%
fewer emergency HVAC callouts after PPM rollout
100%
of contractor visits governed by a permit to work
3x
faster capital planning with consolidated asset data
The challenge
Each campus ran its own facilities process. HVAC, kitchen equipment, and life safety systems were tracked locally, so the district office had no consolidated picture of asset condition or upcoming maintenance liabilities. Capital planning relied on estimates, and contractor work on site was hard to govern with consistent permits to work.
The solution
The district loaded every campus into one PremiseOps portfolio with site-scoped access for each facilities lead. Preventive maintenance schedules were built from the manufacturer maintenance library so equipment is serviced on interval, not on memory. Work permits now govern every contractor visit, and the tenant-scoped AI assistant answers district staff questions about asset history and upcoming work in plain language.
We went from twenty-seven separate ways of doing things to one. The district office finally sees every asset and every scheduled task, and our campus teams spend less time on paperwork and more time keeping buildings running for students.
